The owner's rep job is asymmetric information. The GC has the Procore login; you have a status meeting tomorrow at 7 AM. Forward gives you a phone number you text for the cited answer — across every project — without learning each GC's dashboard.
The owner's-rep information asymmetry
Owner's reps are the bridge between an owner and a portfolio of active commercial construction projects. The defining information problem of the role: you don't have Procore access on most of the projects you cover (each GC runs their own license tier), so you depend on the GC's PM to pull answers for you. That dependency is friction:
- Lag. You email the PM at 4 PM, you get an answer at 9 AM tomorrow. That's a 17-hour cycle for what should be a 30-second lookup.
- Cross-project context-switching. Different GCs use different tools (Procore on one job, Autodesk Build on the next, ProjectMates on the third). You can't realistically learn all three. So you don't.
- The owner asks weekly, you ask daily. The owner pings you in their 10 AM check-in, then you ping the PM, who pings the super, who pings the foreman. The original question takes 4-6 hours to surface an answer.
What Forward changes for ORs
Forward gives the owner's rep their own Forward identity per project the GC connects them to. The OR texts a single number; Forward identifies the OR by phone, identifies which project they're asking about, queries the GC's connected systems (Procore, Autodesk, OneDrive) directly, and replies with cited answers.
Crucially, the OR gets a read-only scope by default. They can see drawings, RFIs, submittals, change orders, schedule activity, daily logs — everything you'd see on the GC's dashboard. They cannot file drafts (only the GC's team can), cannot post to Procore. Pure status access, no write capability.
Cross-project portfolio queries
ORs running 4-8 active projects can text aggregate queries across all of them at once. Examples that work in the demo:
- "What change orders are open across all my projects?"
- "Total RFI count by project, open vs closed."
- "Which projects are 30+ days behind their last submittal sub-deadline?"
- "Total contingency burn across the portfolio."
The bot fans the query out across the projects the OR has access to, aggregates the answers, and returns a single portfolio rollup. Sized for a phone screen — the same query on the GC's dashboard would be a 15-minute CSV export.
The owner-facing layer
Owners themselves sometimes want this access. Forward accommodates owner phone-number enrollment with the same read-only scope. The OR keeps their privileged interpretation layer; the owner gets the raw data when they want it.
The scope is explicit per phone number in the Forward dashboard (app.getforward.xyz/field-users). OR can see RFIs; owner can see RFIs; neither can post.
The compliance + audit story
Every OR text + Forward reply is logged with phone number, verbatim message, cited source, timestamp. This becomes the OR's defensible record of when they knew what. In a delay-claim or scope-dispute package three years later, the log becomes the contemporaneous evidence chain.
