A day in the life of a construction PM
A typical Tuesday for a commercial-construction PM running four active projects, traced minute by minute. The lookup-tax — the inbound texts from the field that have answers already in Procore — shows up everywhere. Here's the same day with Forward in the loop.
The day, today
Tuesday morning, 6:50 AM. Sarah Chen is a PM at a mid-size commercial GC. She has four active projects: a tenant fit-out, a healthcare expansion, a mid-rise residential, and a school renovation. Her phone buzzes before she’s out of bed.
6:51 — Foreman on the healthcare expansion: “Sarah, what was the latest revision of A-301?”
6:52 — She opens Procore on her phone. Pinches the drawing viewer. The latest revision is Rev 2, dated 4/12. Texts back.
7:00 — On the way to the office. Foreman on the school: “is RFI 88 closed yet?” She pulls over. Procore again. Closed 4/15. Texts back.
7:10 — Super on the mid-rise: “what change orders are open against the mech sub?” Procore, filter, four results, screenshot, text.
By 8:30 she’s at the office. 22 inbound texts so far. She has 7 minutes before the OAC meeting.
9:30 — Out of the OAC. Foreman on the tenant fit-out: “ceiling height in A300?” She opens the RCP and the finish schedule. Eight feet six inches. Texts back.
10:00 — Project executive walks in. Wants a portfolio-wide snapshot of open change-order exposure. She has to pull each project, screenshot, assemble a doc. 22 minutes.
Lunch is a sandwich at her desk while she answers the noon wave of field texts. 11 more between 12:00 and 12:30.
2:00 — Owner’s rep on the healthcare project: “was the rough-in mechanical inspection scheduled for Thursday?” She checks email, then Procore inspections, then the AHJ portal. Not yet. She files the request, then texts the owner’s rep + the foreman.
5:30 — Done. She’s tracked her day: 71 inbound field lookup texts, 4 portfolio queries from the PE / owner-rep, 1 inspection scheduling round-trip, plus the normal PM work (sub coordination, billing, change-order drafting).
Time spent on lookups: roughly 90 minutes of clock time, plus maybe 2-3 hours of effective context-switch cost on top.
The same day, with Forward

Sarah’s phone has been dark since 6:50. She gets to the office, drinks her coffee, opens the OAC presentation. The Forward dashboard shows the morning’s 22 lookups already-handled. She didn’t need to touch them.
10:00 — PE walks in. Sarah texts Forward: “total open COR exposure portfolio-wide.” Reply with the aggregate table. PE reads it on Sarah’s phone. 4 minutes instead of 22.
2:00 — Owner’s rep texts directly: “was the rough-in mechanical inspection scheduled for Thursday?” Forward checks the project + the AHJ portal, replies “Not yet — do you want me to draft the request?” Owner’s rep says yes. Forward queues the draft for Sarah’s approval. Sarah approves with one tap on her phone.
5:30 — Done. Sarah ran 4 projects, handled 0 lookup screenshots, attended one OAC, drafted three change orders, approved 11 Forward drafts, and went home on time.
The arithmetic
Forward’s job isn’t to make Sarah’s day more impressive. It’s to give her back the 90 minutes-plus-context-switch cost that used to go to the lookup tax.
That time can go to better PM work (sub negotiation, schedule recovery, owner-rep relationship). Or it can go home with her at 5 PM. Either is better than what happens today.
